How wedding and event service works
A wedding day is rarely a single ride. The couple needs to reach the ceremony, the wedding party moves to photos, guests go from hotels to the reception, and someone has to get everyone home. We plan that day from your timeline and confirm sedans, SUVs, an S-Class or a Sprinter van on the written quote. Each vehicle and each pickup is written on the quote before the day, so the plan you approve is the plan the chauffeurs run.
The same approach works for anniversaries, milestone birthdays, galas, proms, reunions and rehearsal dinners: a list of addresses, times and headcounts turned into a written itinerary.
What is included
- A chauffeured vehicle in the class you choose, confirmed on the assignment.
- Pickups and drop-offs at the doors on your timeline, including hotels, homes, churches, venues and photo locations.
- Waiting between stops when the vehicle is booked as an hourly block.
- Chauffeur gratuity and applicable service and card fees inside the hourly estimate.
Decorations, signage, drinks service and specific models or colors are not standard. Ask on the request and the quote will say what the assigned vehicle can offer.
Vehicles and hourly estimates
| Vehicle | Planning limit | Hourly estimate | Three hours |
| Sedan | 3 passengers / 3 bags | $120 | $360 |
| SUV | 6 passengers / 6 bags | $150 | $450 |
| S-Class | 3 passengers / 3 bags | $230 | $690 |
| Sprinter | 12 passengers / 12 bags | $240 | $720 |
Multi-stop wedding days are usually booked by the hour, with a three-hour minimum. A couple's getaway car at the end of the night can be a single transfer when nothing else is needed.
Building the day around your timeline
- List every stop in order: getting ready, first look or photos, ceremony, reception, and the end-of-night drop-off.
- Add who rides at each step and how many people that is.
- Note the doors: a hotel porte-cochere, a church side entrance, a venue loading drive.
- Send the list with the date. The quote comes back with vehicle classes, the block length and every pickup written out.
Leave slack between the ceremony and the reception. Receiving lines, photos and traffic after an event rarely run to the minute, and waiting inside an hourly block is already covered.
Popular settings across the region
Downtown and Over-the-Rhine weddings often combine a historic church, a hotel ballroom and a reception near Music Hall or Washington Park. East-side weddings gather around Hyde Park Square and Ault Park, where pickups should use Observatory Circle or the pavilion entrance. Across the river, Covington's MainStrasse Village and the Covington and Newport riverfronts are popular for receptions with a skyline view. Suburban venues in Mason, West Chester and Montgomery often need a Sprinter to bring guests from hotels along I-71 or I-75.
Guest shuttles
When the hotel block and the venue are far apart, a Sprinter can run guests in both directions. Give the number of guests expected on each run and the time the last guests should leave. Groups above 12 passengers or 12 bags need a coordinated quote, which may mean two vehicles running together. See downtown, Hyde Park and Covington for pickup notes in each area.
